About the role
A full-time remote medical virtual receptionist role for a California physical therapy practice, handling patient scheduling, calls, texts, and intake paperwork in English and Spanish. It requires healthcare front-desk experience, HIPAA knowledge, and availability from 11:00 AM to 8:00 PM Pacific Time.
What you'll do
- Schedule evaluations, follow-ups, cancellations, and rescheduled visits using Jane App
- Manage patient waitlists and fill available appointment slots
- Handle 20 or more inbound calls daily plus texts and outbound calls
- Follow up with patients on scheduling and authorized visits
- Send intake forms and track completion before appointments
- Maintain accurate patient records and administrative documentation
- Coordinate provider schedules and daily front desk operations
- Escalate clinical questions to appropriate healthcare professionals
What you'll need
- Previous medical receptionist, healthcare virtual assistant, or patient scheduling experience
- Strong English and Spanish communication skills
- Experience with EHR or healthcare practice management systems
- Knowledge of HIPAA and patient confidentiality
- Comfort with high-volume inbound and outbound calls, texts, and voicemails
- Available to work 11:00 AM–8:00 PM Pacific Time
- NBI Clearance and/or Local Police Clearance background check before onboarding
- Available for video meetings with camera on
